Booking Terms and Conditions
Clear arrangements for sessions with Andy Whitmore and bookings at Greystoke Studio.
Last updated: 12 October 2026
Please read these terms before paying a deposit. We will confirm your dates, session type, people involved, instrument choices, price and delivery requirements in writing. Any project-specific arrangements will be clearly agreed before booking.
1. Confirming your booking
A 50% deposit secures the agreed session. Please pay at least seven days before the proposed date; bookings made within seven days require the deposit immediately. A provisional date is not a confirmed booking until payment is received and we have sent confirmation. Bank transfer is preferred; available payment methods and details appear on your invoice.
2. Balance and delivery
For studio hire, the remaining balance is due before the session starts. For separately quoted production and remote work, the payment stages and approval process will be stated in the written quotation. Completed mixes, stems and session files are released after the agreed balance is paid.
3. Session time and preparation
Your confirmation sets out the start time and booked duration. Standard studio hire is eight hours; Andy sessions can be booked as a full day or half day. Please arrive on time and send project files, reference tracks and instrument requests in advance. Late arrival does not automatically extend the finishing time. Any overtime depends on availability and must be agreed, with the charge confirmed before the extra work begins.
4. Instruments and people
Standard studio hire includes an experienced engineer, piano, electric keyboards, guitars, bass and software instruments, plus two analogue and two digital synths selected in advance. The CS-80 and Synthi AKS are excluded from standard hire. They are available in agreed sessions with Andy and through Paul Soulsby’s separate analogue experience with an assistant at Greystoke Studio. Instruments and personnel are subject to availability; please tell us if a particular instrument is essential so we can confirm it before taking your deposit.
5. Extras and project scope
Session prices and recording extras are listed on Services and rates. Drum recording requires an assistant for setup and packdown. Fresh piano tuning can be arranged in advance; the piano is not played between tuning and your booking. Complete production projects are quoted according to their agreed scope. Mixing, mastering, file formats, included revisions and any musician or songwriting contributions should be agreed in writing. Extra work or revisions beyond that agreement are quoted before we proceed.
6. Changes and cancellation
Please contact us as soon as you need to change a booking, ideally with at least 48 hours’ notice. Rescheduling depends on studio and personnel availability and must be confirmed in writing. If you cancel, any sum retained from your deposit or charged for cancellation will be limited to reasonable, evidenced losses directly caused by the cancellation, taking account of costs saved and any replacement booking. Any remaining advance payment will be refunded. The deposit is not automatically forfeited in every circumstance.
If we cannot provide the agreed session, we will offer a suitable alternative date. If you do not accept it, payments for the unprovided session will be refunded. These terms do not limit any statutory cancellation, refund or other consumer rights. Where a statutory cooling-off period applies to an online or telephone booking, we will provide the relevant details and obtain any required express request before work begins during that period.
7. Studio use
A maximum of eight clients may attend a session unless agreed otherwise. Please confirm numbers and any access needs in advance. Follow the engineer’s guidance and ask before moving or connecting equipment. Keep food and drinks away from instruments and recording equipment. Tell us immediately about any fault or accidental damage so we can address it safely.
8. Your music and files
Please ensure you have permission to use any material supplied for the project. Ownership of existing music is unchanged; songwriting shares, performer permissions and any rights in new contributions must be agreed separately in writing. Bring suitable storage or agree a transfer method, and keep your own backup of delivered files. Ask about retention of working files before relying on later access.
9. Questions or concerns
If you have a booking query or are unhappy with any part of the service, contact us promptly so we can discuss it and try to resolve the issue. Any agreed remedy will be confirmed in writing.
